Separate appointments that were missed, cancelled late, rescheduled or unreachable. Review results by visit type, booking channel, lead time and reminder status. The purpose is to locate the failure point, not to label the patient.
Make cancellation and rescheduling easy
Every reminder should use plain language and offer a clear cancellation or rescheduling route. Test the complete French and English journey on a phone. Define what happens when a patient cannot use the digital route, needs accessibility support or has an urgent concern.
Build a recovery workflow
- Assign ownership for the cancellation queue and wait list.
- Define which appointment types may be offered again and in what order.
- Set a cutoff for safe rebooking and a fallback when no one accepts the opening.
- Prevent duplicate bookings and document changes in the system of record.
Evaluate technology against the workflow
Compare reminder timing, patient language, two-way responses, EMR or scheduling integration, audit history, consent, accessibility, support and total cost. Pilot one appointment type before expanding. Track completed visits, late cancellations, staff recovery time and unresolved exceptions without promising a particular result.
