A product demonstration is not a clinic pilot plan. Before a Quebec clinic exposes even a limited workflow to an AI scribe, the supplier and clinic owners should be able to answer the same questions in writing.
Product and Quebec status
- What exact legal provider, product name, version and functions are included in our proposal?
- Which of those exact functions are covered by the current TGV status, and where is the dated official source?
- What has changed since the certification or public-table review?
Data and privacy
- What data is created at each step: audio, transcript, prompt, draft note, logs and analytics?
- Which model providers and subprocessors receive each data type, in which country, and for what purpose?
- What are the retention and deletion rules during the contract, after a user deletes a record and after termination?
- Is clinic or patient information used for model training, product improvement or secondary analytics? Which setting and contract clause control that use?
- Which evidence will you provide for the clinic’s EFVP, security review and incident-response plan?
Clinical and workflow control
- How does the professional review, correct and sign the note before it becomes part of the record?
- How is consent presented, recorded, withdrawn and handled when a patient declines?
- How does the product perform in French and English for our specialties, accents, visit types and templates?
- What happens when the wrong patient, speaker, medication, number or section is detected?
EMR, operations and exit
- Is the EMR connection a true interface, browser extension, file export or copy step? Which fields move in each direction?
- What are the downtime, support, incident-notification and rollback procedures during the pilot?
- How do we export our information, preserve audit evidence, delete remaining copies and leave the service without losing workflow continuity?
Turn answers into a decision record
Assign every unanswered question to an owner and a deadline. Define pilot scope, measures, stop criteria and the evidence required for expansion before the first real use. A “yes” without a source, configuration or contract clause should remain an open item.
